Data protection information for job applicants in accordance with Art. 13 GDPR
Compliance with the data protection regulations is a high priority for WZB. Therefore, we would like to inform you in the following about the processing of your personal data in the course of the hiring process:
Controller:
The data processing controller is Wissenschaftszentrum Berlin für Sozialforschung (WZB), Reichpietschufer 50, 10785 Berlin, Germany (telephone: +49 30 25491 0, email: wzb [at] wzb.eu).
Processing purpose and processed data:
To process your application submitted through our job portal, we process your first and last names, your address, email address and telephone number, and all other information in relation to your application (e.g. resume, reference letters, qualifications, answers to questions). You are free to inform us about titles, your home address, or a severe disability status. The legal basis for the processing of your data results from Sec. 26 (1) Federal Data Protection Act (BDSG). The data are processed for the purpose of the hiring process. You are free to also let us know how you learnt about the WZB. We will not merge such information with your application documents. Instead, we will use it to draw up statistics and, as the case may be, to measure the efficiency of our marketing measures. The legal basis for this processing of data is Art. 6 (1) (f) GDPR. The WZB has a legitimate interest in monitoring the efficiency of its marketing measures.
Duration of storage and deletion of data:
Insofar as there is no statutory retention period, the data are deleted as soon their storage is no longer required. If an employment contract is not concluded, the data will generally be deleted 6 months after the end of the hiring process. If an employment contract is not concluded but your application continues to be of interest to us, we will ask you if we can keep your application for future job openings. With your consent, that also constitutes the legal basis for the data processing, we will keep your application documents in our pool of talents for a period of half a year.
Recipients of your data:
To manage our hiring processes, we use the job application management software from the company HR4YOU. HR4YOU and other service providers that support us in the areas of IT (e.g. video conferencing services) and the archiving or deleting of documents are employed based on strict instructions. We entered into separate data processing agreements with all these service providers. Some of the service providers used by us are located outside of the European Economic Area. Companies in these countries are subject to data protection legislation that may not provide the same degree of protection for personal data that is provided in the member states of the European Union. Via contracts, the WZB ensures that your personal data are appropriately protected. For certain hiring processes, we also use the expertise of external service providers. They are granted access to your application data to the extent necessary, participate in the job interview, as the case may be, and thereby support us in finding the suitable candidate.
Your rights:
You are entitled to request information about which data we store about you and for which purpose we store them. In addition, you can have incorrect data corrected or have data erased that must not be stored or need not be stored any longer. You are entitled to restrict the processing of your data and have a right to data portability. Further, you have the right to file a complaint about ongoing data processing with a supervisory authority.
If the data are collected based on Art. 6 (1) (1) (f) GDPR (data processing for the purposes of legitimate interests), you are entitled to object to the processing of your data based on reasons resulting from your special circumstances at any time.
